Tuition Assistance

OU Health believes in the value of education. You can receive up to $5,250 per year in tuition assistance for expenses related to classes and coursework you complete at an accredited school, college, university or distance learning program.

Who is Eligible

All benefits-eligible employees can apply for tuition assistance on or after their hire date. This includes full-time employees and part-time employees who work at least 16 hours per week (.4 FTE).

Keep in mind, you will not be eligible for reimbursement if you:

  • Do not receive a grade of “C” or better (“Pass” for Pass/Fail coursework).
  • Are suspended or change to an employment status that is not eligible (for example, PRN or part-time less than .4 FTE).
  • Terminate employment while attending classes/completing coursework.
  • Submit your reimbursement request late.

OU Health also requires a two-year work commitment following payment of tuition assistance.

Keep in mind…

You may participate in only one of the following OU Health education benefit programs per calendar year (if eligible): Tuition Assistance, Guild Learning Marketplace or Degree Accelerator Program (DAP).

Eligible Expenses

The cost of tuition, books, equipment, fees and supplies are eligible. The expenses must be for coursework/classes that:

  • Were taken at an accredited school, college, university or through an accredited distance learning program.
  • Lead to a degree.
  • Meet the business needs of the organization.

Maximum Amount

The total combined amount of education assistance you can receive in any calendar year is $5,250.* This is the maximum amount the Internal Revenue Service allows you to receive and not be included in your taxable income for the year.

*The $5,250 annual maximum applies to the combination of amounts you receive through Tuition Assistance, Guild Learning Marketplace and Student Loan Repayment.

How and When to Apply for Tuition Assistance

First, get advance approval:

  • Apply online using tuition.io before the start of each education period (for example, semester or quarter). You need to apply and receive approval before you register for or attend any classes or begin any coursework.
  • When you apply, you will need to provide information about any other financial assistance you are receiving from other sources (for example, GI Bill or other veterans’ programs, scholarships, waivers, grants and other subsidies). Your application will be considered in light of amounts not being paid by the other sources.

Within 30 days of receiving your final grade report:

  • Request reimbursement using tuition.io.
  • You will need to submit your final grade report and proof of payment of qualified expenses (registration forms, paid receipts).
  • Late submissions will not qualify for reimbursement.

How and When Reimbursements are Made

You receive your reimbursement through payroll after you submit all required documents. Payment usually occurs in one of the next two pay periods, depending on when you submitted your request.

OU Health knows the importance of helping licensed medical professionals maintain their knowledge and skills and stay up-to-date on industry developments and new technologies. The continuing medical education (CME) program gives eligible employees an annual allowance to help pay for continuing education, professional dues and medical licensure fees.

The CME program reimburses professional dues, medical licensing fees and the cost of courses, programs and organized learning experiences that are not part of a degree program. The funds are intended for maintaining a professional license or certification, if required in your job at OU Health or OU Health Partners, Inc.

Who is Eligible

Physicians, Advance Practice Providers* and staff with eligible job titles receive an annual allowance for reimbursement of expenses associated with maintaining licensing and certification during your employment.

*Job Family in Workday: APRN and Physician Assistant

  • Physician Clinical Service Chiefs and Section Chiefs: $7,000

  • Regular part-time eligible employees with FTE less than 0.50: half the annual allowance.
  • In the first year of employment, these amounts are pro-rated based on hire date.

Amounts follow the fiscal year (July 1 – June 30). There is no carryover of unused amounts from year to year.

How to Request Reimbursement

At least 60 days in advance:

  • You must get pre-approval of expenses using a spend authorization request. (For details, refer to Policy FIN.008, available in Policy Tech on The Hub.)
